GENERAL QUESTIONS
Why should I use the app?
As an organisation, we have a pressing need for quality, large-scale data to prove all the hard work that our Jog Leaders are doing around the country. This information will be invaluable to present to potential future funders of jogscotland – and the app gives us a relatively simple way of collecting that data.

Additionally, it will give your members the chance see a record of what they have done, while leaders get to see all the sessions they have delivered, and groups know who is active.

How does it work?
Joggers register online with our partners parkrun, and will be given a personal parkrun barcode. They take this barcode – either printed on paper, or on the screen of their phone – to their jogging session.

Jog Leaders download the app (free of charge), which allows them to scan the barcodes of all the joggers at their jogging sessions, along with the approximate distance and duration of the session. Afterwards, Leaders upload this information to the main server where the overall data will be held. Jog Leaders can log in online to see all the sessions they have led, and joggers can log in to see their sessions they’ve taken part in.

Can I use it on my phone?
The app is available for iPhone and Android phones. We’re sorry to say it’s not available for Windows phones.

What if I choose not to use the app?
It is up to you to decide whether you want to use it. We hope as many people as possible will use the app, so we can gather some really robust data proving all the good work our Jog Leaders are doing, and help state our case to potential future funders.

But we recognise that some people will not have the technology, or the inclination, to use it. If you choose not to, you will still remain a member of jogscotland and be able to participate in/lead sessions.

GETTING STARTED WITH THE APP

How do I get the app?
Go to the App store (iPhone) or Google Play (Android) and search for ‘jogscotland’. You can then download the app. See the user guides page for a step-by-step guide to doing this – there are both written and video guides for you to choose from.

Will I be charged?
You will not be charged for downloading or using the app – it is free. You will need to upload your data to the server after a session, but you can wait and do this when you are close to wifi, so you don’t need to use mobile data.

How do I log in to the app?
To log in to use the app as a Jog Leader, you need:

1. To be registered with parkrun. If you’re not already, go to the parkrun registration page and sign up. You do not need to actually go to a parkrun, or to have a parkrun near you, you simply need to be registered on their system. If there’s not a parkrun near you, just choose any parkrun for the ‘Home parkrun’ part of the registration form.
You will use the number below your barcode, and the password you create for your parkrun account, to log in to the app on your phone. If you can’t remember your parkrun password, you can reset it here. There’s also more useful information about accessing your parkrun account here.

2. To be activated on the parkrun system as a Jog Leader. We will do this for you once you have a parkrun barcode – just go to our online form and enter your details, including your barcode number, and we will ask parkrun to activate you on the system. We’ll then email you to let you know you’re ready to go.

What do I tell my joggers to do?
If you want to use the app, ask your joggers to go and sign up with parkrun at the parkrun registration page and bring their barcodes along to their jogging session for you to scan. You can scan barcodes on paper, or from your joggers’ phones. If your joggers have parkrun items like rubber wristbands with their barcode on, you can scan these too.

  • They can use the same barcode at parkrun, and at their jogscotland session.
  • When printing your barcode please do not resize the barcode (either smaller or larger) – if you do, it will not work. Make sure your browser is not scaling the print. Likewise, when you scan your joggers’ barcodes on their phones, don’t zoom in or out.

Are you giving member details to parkrun?
In December 2016, we emailed members and said we would pass the details of existing jogscotland members to parkrun in order to issue barcodes. In response to concerns raised by members, we have changed this approach.

Please note:

  • We will not automatically send existing members’ details from jogscotland to parkrun.
  • Some Jog Leaders explicitly opted in and sent us their parkrun barcode in December. We will use this number to ask parkrun to set you up as a Jog Leader on their system, using the account you already have with them.
  • If you as a Jog Leader want to use the app, you should sign up with parkrun directly first – that way you know exactly what information you have provided to whom, rather than us sharing your data. You can then contact us (as described above) to have your parkrun account activated as a Jog Leader.
  • If your members want to be scanned, they should also sign up with parkrun directly, giving them control over what information they provide to whom. They don’t need to contact us after that – they can just bring the barcode provided to them by parkrun along to jogging sessions.

We hope in future to be able to streamline this process, so that future new members won’t have to sign up separately with jogscotland and parkrun if they want a barcode, but this will be a later stage of the project – we’ll tell you about that at a later date.

When is this launching?
We plan to have an introductory period when Jog Leaders can try out the app, get used to it and ask any questions they may have. This will give us the chance to iron out any final issues, and make sure everyone has the training support they need.

During this period, we suggest you ask members who already have parkrun barcodes to bring them along for you to scan, and start encouraging the rest of your members to sign up, ready for launch.

During this introductory period, we will not be collecting data.

We will then email everyone who is using the app to let them know the date on which we plan to start collecting data from the system – then it’s all systems go.

USING THE APP AT A JOGGING SESSION

What happens if a jogger doesn’t have their barcode with them?
If they know the number that appears below their barcode (also known as their Annnnn number), you can enter it manually. However, if they don’t have their barcode and they don’t know their Annnnn number then you won’t be able to record them as a participant for that session.

What happens if one of my joggers doesn’t want to use a barcode?
You won’t be able to record this jogger as a participant.

My phone won’t scan the barcodes.  What can I do?
You can try moving your phone closer and further away to try and focus on the barcode, but if this doesn’t work, exit the scanner and you’ll have to enter the runner’s barcode manually. To do this just tap the “manual entry” button on the session view screen then type in the Annnnn number on the runner’s barcode. Do not adjust the size of the barcode as this will affect the scanning ability.

AFTER YOUR SESSION

What now?
By noon of the day after your session, you’ll need to upload your session to the server, so that we capture your information on the database. Full instructions for doing this are included in our user guides.

I’m having issues uploading my sessions to the server.  What should I do?
It might be too late to upload your session. You need to make sure you upload it to the server before noon the day after the session.

My group splits into smaller jog groups of different abilities.  How do I log this using the app?
You can either choose to log one session by working out a rough average distance and duration for all your joggers, or you can enter different sessions and scan the relevant joggers to each session.

Can I edit/cancel a session once it’s uploaded?
No, you can’t. Make sure you’ve scanned everyone’s barcodes and completed the details (date, location, distance and duration) correctly before you upload it! You can only delete a session that has an orange circle to the left of it because it’s not yet been uploaded to the server.
